The Office Services Supervisor is a key member of the Finance Office, which manages all the organization's financial systems. The Office Services Supervisor provides support to the financial operation in the areas of accounts payable/receivable, bank deposits, mail distribution, payroll, and petty cash. The Office Services Supervisor has responsibility for overseeing the upkeep and maintenance of the Little Brothers-Friends of the Elderly headquarters and providing internal customer service to employees and volunteers.

Key Responsibilities

Verify the accuracy of invoices and other accounting documents or records.
Update and maintain accounting records detailing financial business transactions (e.g., monthly cash disbursements, expense vouchers, receipts, accounts payable). Enters data using QuickBooks 2016.
Assist with preparation of materials for annual audit.
Process check and credit card purchases request.
Reconcile records with employees and management, external vendors or customers.
Maintain filing system for LBFE expenditures.
Receive and open all incoming mail; remove checks to be deposited; sort, batch and distribute miscellaneous mail.
Prepare daily deposits and batch processing for the Development Department.
Process, maintain and track all functions for payroll.
Maintain an orderly, economical, and efficient process for purchase of office supplies.
Serve as the “on call” liaison to deal with after hour’s emergencies at the LBFE headquarters.
Maintain administrative and personnel files.
Supervise, and maintain a maintenance schedule for a two person maintenance staff, ensuring that annual inspections are conducted and licenses are current.
Work with maintenance staff to maintain the LBFE vehicle fleet.
Work with the Program Department to ensure the kitchen meets health department standards.
Conduct orientation of new employees and interns regarding benefits, LBFE administrative procedures, building rules and regulations.


Must own a vehicle and maintain a valid Illinois Driver’s License.
Computer skills - experience with QuickBooks accounts payable and general ledger, payroll system, Microsoft Excel, Microsoft Word.
Compose business correspondence and interact with vendors.
Attention to detail and ability to meet deadlines.
Excellent verbal, written, telephone and customer service skills.
Ability to work as a team member in a highly interactive environment with employees and volunteers.
Manage staff and conduct annual performance evaluations.
Staff members are required to work one of two main holiday Celebrations (Thanksgiving or Christmas), and our Founder’s day celebration, Fête d’Armand Marquiset. Also November 1 - December 31, only minimal, pre-approved vacation time can be taken.

Bachelors of Science degree preferred or eight years of relevant experience.
