This position reports to the Executive Director and embodies the back office of Fulcrum Point New Music Project. The Office Manager is responsible for handling independently the day-to-day business affairs of the organization that include but are not limited to:

Accounting & financial affairs (primarily reporting to the Treasurer of the Board): includes employing the customary book-keeping services for record-keeping, check depositing & check cutting, and processing musician checks on time for the productions while coordinating with the musician union manager. Additionally, handling other production related expenditures or settlements and filing annual reports with the Secretary of State of Illinois and Illinois Attorney General.
Drafting of annual operating budget under the direction of the ED and the Treasurer and monitoring the cash flow forecast on a year round basis.
Monitoring & fulfilling all tax filing obligations including employee withheld taxes, company IL-941 Tax return, plus ensuring necessary documentation are submitted in compliance with 501 C3 status requirements.
Coordinating and facilitating the annual audit with help from ED.
Arranging necessary insurance coverage for Director’s & general public liabilities.
Assisting the Marketing Director with annual appeal mailings.
Negotiating the independent artist contracts with help from ED.
Maintaining the functionality of the office by monitoring and ordering office supplies with the help of the ED.
Provide on-site audience development support during public performances.
Misc. office administrative duties.
Assist Marketing Director in archiving files of promotional materials, reviews, program notes and other concert relevant materials.

1. PROGRAMMING

Work with the Artistic Director on devising the program budget.
Monitor program budget.
Negotiate with venues on dates & contract.
Coordinate stage management of programs with the venue.
Arrange musicians’ travel as necessary.
Negotiate musicians’ wages with arts unions as necessary.


2. CONCERT PRODUCTION

Coordinate production schedule with venue
Hire stage manager or assume stage manager role for performance
Coordinate dressing room assignments
Coordinate production equipment & supplies (lighting, percussion rentals etc.)
Coordinate production schedule with venue
Coordinate post-concert reception with caterers/sponsors


3. DAY OF CONCERT

See that production schedule is implemented.
Coordinate backstage catering.
Check dressing rooms.
Coordinate with box office to resolve any issues & determine seating assignments for special guests, etc.
See that sound engineer has pre & post-concert music.
Coordinate with front of house personnel on concert schedule, assignments, and concert information.
Check that caterers have arrived on time for post-concert reception.
Check on lobby setup for any additional displays or materials.
Check on setup of the room for post-concert discussion.
Distribute musician checks.


REQUIREMENT & QUALIFICATIONS

We require that applicants have experience in business management.
Preference will be given to applicants with relevant experience at a nonprofit.
Experience in both business and production management is preferred.
Demonstrated ability to create and maintain organized budgets and finances.
Knowledge of the tax and filing requirements associated with a nonprofit.
We require that you have knowledge of Microsoft Office Suites, Google Drive, Dropbox, and Gmail.
We require someone who will communicate courteously, consistently, and thoughtfully.
