This position is based in Stepan's Houston location. This position is responsible for providing Sales/Office administrative support to the Oilfield Solutions Leadership Team, and their direct reports. Some of the key responsibilities will include the ability to compile and produce complex, confidential information for inclusion in reports or presentations and the creation of charts, graphs or tables. Effective calendar and people management skills are critical as well as sound communication skills associated with routine and high-level written and verbal correspondence. This role collaborates with the Oilfield Solutions Leadership Team to develop and implement respective programs and initiatives, follow up on the progress and keep the Oilfield Leadership Team apprised of their status and developments. Responsibilities/Duties: 1. 2 Provide administrative support to the Oilfield Commercial/Technical Team as follows: * Responsible for high-level correspondence through e-mail, telephone, and mail for Oilfield Leadership Team. * Responsibility for complex administrative activities including but not limited to: client communication, typing confidential documents, travel/meeting arrangements, creating expense reports, mass mailings, meetings coordination and conference call set-up. * Provide support in preparation/development of presentations and written correspondence. Produce advanced charts, tables and presentation materials utilizing both Excel and Powerpoint, as well as other Microsoft Office Suite programs, WebEx video conferencing. Assist team in preparation of marketing white papers, as well as high level business presentations. * Utilize analytical skills to leverage database information (SAP, CRM and Excel- advanced level) required for analysis, report generation, and general correspondence. Assist in preparation of monthly sales and business management reports. * Support sales team with SAP, CRM and opportunity tracking support. Weekly tracking of sales KPI's. * Maintain and track calendar for office/lab personnel * Support commercial team with logistical/travel arrangement support. Provide office administrative support to Houston Oilfield Solutions facility to support the day to day operations and maintenance of the facility as follows: * Responsible for purchase requisitions for procuring lab and safety supplies. * Order and maintain stock levels for all office supply cabinets. * Using eProcurement platform, purchase and receive goods, and reconcile/file monthly statements in a timely manner. * Distribute inter-office and external mail for the Houston site. * Coordinate on site activities for third party vendors and source additional vendors as needed. * Coordinate with corporate MIS for telcom and network needs for Houston site. * Maintain vendor list, contracts and negotiate pricing for site contracts. * Arrange facility repairs with appropriate third parties as needed. * Manage and ensure timely payment of suppliers/vendors. * Tracking and maintain vacation/lost time in system for commercial team. * Support onboarding process for new hires. Manage logistics for recruiting process. 3 4 Marketing Communication Activities: Provide support to Oilfield marketing communication activities. This includes * Support sales/marketing activities and initiatives such as sales collateral material development (ie: sales brochures) * Responsible for generating social media content (LinkedIn/Facebook/Twitter) and online media presence maintenance in conjunction with marketing strategy. Report analytical metrics of social media on monthly basis. * Coordinate business and branding activities with external design firms for Stepan Oilfield Solutions marketing collateral and trade show booths. Meeting Management: Act as liaison for Sales & Marketing/Technical conferences, meetings, (Ie NACE, AFPM, SPE, etc). Organize internal and external meetings. Independently manage all strategic and tactical aspects of event planning and major convention and sales meeting participation, including calendar management for major events. Education: Technical/Associate's or High School degree required, Bachelor's degree preferred Experience: 1-3 years required, 3-5 years preferredSDL2017
