Job Description BASIC FUNCTION : To oversee all basic office functions and procedures and keep ownership apprised of day-to-day operations and scheduling. RESPONSIBILITIES OF POSITION : - Oversee general office duties, ie, phones, files, mail, postage, fax, maintenance, purchasing, office supplies, printing and keeping management apprised of daily operations. - Answer phone, reply to voice messages, set up conference calls and maintain phone system. - Collaborate with Plant personnel on customers’ preferred shipment date. - Maintain product shipment records, purchase orders and communication with customers. - Maintain calendar for employees’ days off, customer visits, shop maintenance, product shipments, deliveries and pricing. - Maintain Personnel files, human resource duties, health insurance, and workman’s comp. - Compile and maintain SOP’s. - Maintain ACT database (CRM system) by entering new prospects data. - Maintain product literature files for advertising, coordinate trade show events, including some travel arrangements. - Maintain stockholder records.
