IOR Global Services – Northbrook, IL

The Office Administrator is responsible for supporting IOR’s Management team and handling office administration to optimize the team’s contributions to the company. This is a full-time position that reports to IOR’s President, located in our Northbrook, IL office with an immediate start date.


Team Administration
* Assist Senior Management departments with general administrative tasks.
* Make employee travel profiles and arrangements including hotel, flights, rental cars, etc..
* Process staff expense reports, including reconciling credit card charges.
* Manage company-wide meeting logistics, book conference rooms, set up and record virtual meetings.
* Work with Social committee, marketing and management to assist with office event planning.
* Assist with client service authorizations creating new accounts, contacts and program information within Gateway, IOR’s program management system.

Office Administration
* Manage office equipment and liaise with suppliers and Director of Technology to ensure smooth running operations (phones; shared computers; VOIP; copiers, WIFI; online meeting services)
* Manage Company directory
* Send out Birthday/Anniversary announcements and building announcements
* Order office, kitchen and computer supplies. Create kitchen cleanup schedule.
* Ensure overall tidiness of office and organize storage area and closets. Make suggestions to enhance collaboration space for employees.
* Liaise with building for any maintenance, access, cleaning, etc.
* Manage daily mail and shipping for all departments through vendors such as UPS, FedEx, USPS
* Perform administrative duties such as filing, database updates, processing forms, organizing vendors, etc.



* Excellent organizational skills; detail-oriented and thorough
* Strong team player; willing to assist with a variety of duties
* Ability to speak to outside vendors and employees professionally
* Display positive attitude and enthusiasm
* Tech savvy. Proficient in Office 365 (Word, Excel, PowerPoint), troubleshooting and organization.

Education & Skills
* Tech savvy; fluent with MS Office (Excel, PowerPoint, Word)
* Ability to learn proprietary program management system (Gateway, IRMA)
* Bachelor’s degree preferred
* Foreign language a plus

* Well organized and streamlined office
* Strong relationships with the internal IOR team and outside representatives from all areas
