Grace Episcopal Church

Grace Episcopal Church in Chicago’s South Loop neighborhood seeks a part-time Bookkeeper to perform the day to day financial operations, including AP, A/R, GL, payroll and pledge income record keeping, a task that is estimated to average 3-6 hours per week. Experience in performing reconciliations, identifying and implementing adjusting entries, making payroll tax deposits, developing and maintaining chart of accounts, and financial reporting are required. Hours: Offsite: average 3-6 hours per week, 12-15 per month (low 9 hours - high 26 hours)

Onsite: average 1 hour per week, negotiable

Job Summary: Using QuickBooks Online, perform the day-to-day financial duties of the Church, including AP, A/R, GL, Payroll, Reconciliations, Payroll Taxes and Reporting.


Help migrate system from desktop QuickBooks to QuickBooks Online
Enter Payables, prepare checks based upon check requests, (twice a week, currently Mondays and Thursdays, usually about 30 debits onto the account from checks, payroll, and electronic fund fees and 30-40 credits from deposits, payments, electronic fund deposits)
Report payroll to Paychex (twice a month) and maintain reports in QuickBooks Online
Enter Pledge Payments (QuickBooks Online) based upon photocopies of checks from Counters’ deposits (weekly, usually on Mondays) as well as online payments (via Vanco)
Enter pledges, weekly payments and generate quarterly statements using QuickBooks Online
Process and make regular and special deposits as needed (All routine pledge payments and cash are processed by the counters for weekly deposit)
Calculate and bill building tenants each month, track and manage tenant payments
Insure accurate and timely input of all financial transactions, reconciliation of multiple bank and investment accounts, as well as identify and implement any required adjusting entries
Generate quarterly Pledge Statements
Reconcile quarterly and annual Paychex reports
Maintain accurate balances and transaction history of all Special Funds Accounts
Generate year-end 1099s
Provide Treasurers with all 941 reconciliations and report preparation
Add new employees to QuickBooks Online and Paychex as needed
Enter annual budget, developing and deleting accounts for Chart of Accounts as needed
Provide stock donation letter confirmations
Prepare monthly financial reports (6) and respond to financial inquiries as needed
Work with Treasurers and Rector on annual reconciliation and close-out
Provide support to Treasurers for annual audit
Other duties and responsibilities as identified by Treasurers or Rector


BA Accounting
Five years of accounts payable, accounts receivable, or bookkeeping experience in a church or non-profit organization
Demonstrated competency General Ledger software, including AP, A/R, and Payroll, is required (Experience with QuickBooks Online is required)
Formal accounting training, coursework or degree
Demonstrated ability to identify and solve financial record keeping issues
Demonstrated effective communication skills (written and verbal) to identify and solve problems
Maintain a positive attitude at all times and poise under pressure
Demonstrate a willingness to learn new tasks and functions
Personal dress and appearance appropriate to the business and ministry of the Church
Use discretion and confidentiality concerning financial and payroll information of church life
